Position Summary
The Vendor Compliance Coordinator is responsible for supporting subcontractor and vendor onboarding, contract documentation, and compliance tracking across the organization. This role serves as a key administrative and operational resource, ensuring required agreements, insurance documentation, and compliance records are collected, maintained, and kept current.
The position works closely with Operations, Accounting, Safety, Project Management, and subcontractor partners to support efficient execution of projects while reducing operational and compliance risk.

The Vendor Compliance Coordinator is responsible for supporting subcontractor and vendor onboarding, contract documentation, and compliance tracking across the organization. This role serves as a key administrative and operational resource, ensuring required agreements, insurance documentation, and compliance records are collected, maintained, and kept current.
The position works closely with Operations, Accounting, Safety, Project Management, and subcontractor partners to support efficient execution of projects while reducing operational and compliance risk.
Essential Duties & Responsibilities Vendor & Subcontractor Onboarding
- Coordinate onboarding activities for new subcontractors and vendors
- Collect and maintain required onboarding documentation, including W?9s, Certificates of Insurance (COIs), vendor setup forms, and other compliance-related records
- Monitor documentation status and follow up on outstanding or incomplete items
- Serve as a point of contact for subcontractor and vendor administrative inquiries
- Coordinate the collection, execution, organization, and tracking of subcontractor and vendor agreements
- Maintain accurate and organized contract files, including Master Service Agreements (MSAs), Non?Disclosure Agreements (NDAs), and related documentation
- Track agreement execution, renewals, and expiration dates
- Ensure documentation is properly stored and maintained in company systems
- Track insurance certificates and other compliance requirements to ensure ongoing compliance
- Monitor expiration dates and proactively request updated documentation
- Assist with audits, reporting requests, and internal compliance reviews
- Coordinate with internal departments to resolve documentation or compliance issues
- Maintain subcontractor and vendor databases, logs, and tracking reports
- Prepare reports, spreadsheets, and correspondence as needed
- Support process improvement initiatives related to vendor onboarding and compliance tracking
- Assist with special projects and operational initiatives as assigned
Qualifications
- Associate degree preferred; equivalent combination of education and experience considered
- Minimum of two (2) years of experience in vendor coordination, compliance administration, contract documentation, operations support, or a related administrative role
- Experience working with vendor onboarding, insurance certificates, contracts, or compliance documentation preferred
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast?paced environment
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
- Strong written and verbal communication skills
- Ability to handle sensitive information with professionalism and discretion
Preferred Qualifications
- Experience supporting construction, telecommunications, engineering, utility, or infrastructure-related organizations
- Familiarity with vendor management systems, compliance tracking tools, or ATS/ERP platforms
- Experience working cross?functionally with Operations, Accounting, Safety, and Project teams
